You can manage user registration status in WordPress with RegistrationMagic’s Custom Status Labels & Associated Actions.

In the RegistrationMagic platform, custom registration statuses with predefined labels and associated actions are available. The Custom Status screen exhibits three key menu elements: All Statuses, New Status, and Delete. The comprehensive all-status page functions as the primary interface for managing custom user registration statuses. Within this section, users can review their established predefined and personally created custom statuses, presented in a tabular format. Each row displays the custom status color, corresponding label, and an expandable view button for easy modification access if needed.

Additionally, users can actively remove established statuses using the “Delete” page. Continuing, we move to the new custom status page.

Custom Status Labels

Prebuilt Status Labels

RegistrationMagic provides several prebuilt labels that users can directly apply to the form submissions. These labels include “Approved,” “Pending,” and “Rejected.” The “Approved” status within the plugin can be applied to successful registration and user submission validation. “Pending” status can be used as submission review, awaiting verification or approval by administrators before accessing requested services or content. “Rejected” status can be used for unsuccessful registration due to non-compliance, requiring users to review and resubmit details for reconsideration. These labels can be customized according to the needs.

Custom Status Labels

Users can choose to create a new label, giving it a distinct name to differentiate it from other custom statuses. Enter details for the newly created custom status in the description field. It’s worth emphasizing that the description only appears within the custom status Add/Edit interface and does not appear in submission entries within the inbox.

Furthermore, color can be used as an extra distinguishing feature. We recommend choosing unique and contextually relevant colors for each custom status to ensure clarity.

Associated Actions

Edit Other Statuses

Enabling the “Edit Other Statuses” option empowers users to impact other Custom Statuses instantly upon applying this Custom Status to the form submission. Within this context, three additional options come into play.

  1. Do Nothing: This option leaves other custom statuses unaffected upon application.
  2. Clear all different statuses: It removes all other custom statuses from the form submission when applying this custom status.
  3. Clear Specific statuses: Users can choose from a list to selectively remove only designated custom statuses from the form submission window. Enabling this option provides a list of all available Custom Statuses for selection.

Email to User/Admin

Enabling the “Email to User” or “Email to Admin” option permits sending an email to the relevant individual. Once activated, this option triggers the email dispatch upon applying the specific custom status. The email encompasses both the subject and body of the message or content intended for transmission. 

User Account Options 

The user account options enable interaction with the user account upon applying this custom status. There are four available options:

  1. Create User Account: Generates the user’s account on the site upon application of this Custom Status to the form submission.
  2. Activate User Account: Activates the user’s account on the site when this Custom Status is applied to the form submission.
  3. Deactivate User Account: Disables the user’s account on your site upon application of this Custom Status to the form submission.
  4. Delete User Account: Erases the user’s account from your site as soon as this Custom Status is applied to the form submission.

Attach Note

Enabling this option grants the ability to attach an admin note immediately upon applying this custom status to the form submission. By selecting the “Public Note” checkbox, the note becomes accessible to the user. The note text can be inputted within the “Note Text” text area.

Blacklist

Activating this option restricts the user linked to the form submission from future access to the form. Additionally, if you encounter unwanted form submissions originating from certain email addresses and/or IPs, you can utilize the “Block Email,” “Block IP,” “Unblock Email,” and “Unblock IP” choices. These options are accessible when the respective feature is enabled. “Block Email” prevents users based on their email addresses, while “Block IP” does the same based on their IPs.

 

 

Note that Custom Status Labels are accessible for Free for all users, but Associated Actions are included in the RegistrationMagic Premium package.

Applying custom status to registrations

You can label the form submissions with custom statuses directly from the inbox. Select the form from drop down menu. Next, click the “view” button within the desired form submission to which you wish to assign the custom status. In the form submission, simply click the “+” symbol to incorporate your custom statuses. A comprehensive list of all available custom statuses is provided in list format.

Create New Bulk Email

Email Subject

Here, administrators have the option to broadcast the subject of bulk emails to all registered users.

Email Body

This section contains all the content intended for emails sent to registered users. The “Add Media” button facilitates the incorporation of images, audio, or video files, which will be included in the emails sent to recipients. Additionally, the “Add Fields” button allows the inclusion of specific fields like Name, Description, Email, and Website, elevating the professionalism of the emails. Users can toggle between visual and text modes. In text mode, users can input text while in visual mode, users can view the presentation format. This flexibility ensures a seamless and personalized email creation process.

Active Queues

On this page, a comprehensive list of all active email queues scheduled by administrators for the users. By selecting a specific recipient from the provided options, you can check the active queues designated for that particular recipient. If there are currently no active email streams, the page will display the message: “No active queue. Please select a form from the dropdown to send emails.”

Outbox [Sent Emails]

This section compiles all bulk emails sent to registered users, generated using RegistrationMagic. You have the option to toggle between different forms from the provided choices. Additionally, you can select the “All” option to include emails from all domains. The time checklist assists in filtering specific sent emails based on their dispatch date, allowing you to view emails sent today, this week, this month, or this year. For more precise filtering, the custom period option enables you to set date constraints by specifying the “from” and “up to” dates.

The page presents sent emails in rows, with columns for To, Subject, Content, and Action. Clicking the view button grants access to the complete content of the email, displaying detailed information such as Sent On, Subject, and Content. To facilitate specific searches, the search feature enables users to input keywords or search terms that match fields like To, Subject, or Content. This functionality ensures easy retrieval of desired emails based on customized search criteria.

This section manages email configuration settings.

Sent Email through External SMTP

In this method, administrators can choose to use external SMTP services (e.g., Google, Yahoo, etc.) instead of a local mail server to deliver RegistrationMagic emails. Users can input the SMTP host address in the field labeled “SMTP Host.” Further, select the type of encryption provided by the SMTP service provider from the dropdown menu under “Encryption Type.” Next, users need to specify the SMTP port number in the “SMTP Port” field. Additionally, the sender’s email address can be added to complete the configuration. This setup enables seamless integration with external SMTP services for reliable email delivery.

Sent Email through WordPress Default System

This method utilizes the built-in mail program that relies on your host server to send emails. The first input is labeled “To,” where the admin can specify the email addresses to which the emails will be sent. The second input, labeled “Message,” allows users to define the content they wish to deliver to the specified email addresses.

Submission Notification for User

Within this section, you can designate the sender’s name and email address, which will appear in the message header received by the user. The sender’s name serves to identify the source of the email. This name can be dynamically selected from the form or, if the user is already registered, retrieved from their WordPress profile. This feature allows for personalization and ensures that the emails are sent with the appropriate sender information.

Step 1: Adding a new form using RegistrationMagic.

  • In the window that says “Create New Form“, add a title for your form.

  • All the fields are to be added to the form from the ‘All fields’ section. You’ll find every single field you’ll require here.

  • For instance, text, radio buttons, checkboxes, video links, images, etc. all lie under this category.
  • Just to gander at the good, here’s a glimpse of all the vast range of categories under the ‘Fields’ section that you can use. We’re creating a basic and precise user registration form here. However, we won’t make use of all these fields.

Step3: Adding fields to the form

Since the form we have in mind is a very basic and open one, we won’t make it extra refined. Therefore, we’ll add only a single sheet to the form. If need be, you can always create multipage forms easily through RegistrationMagic.

 Let’s start adding fields to our form:

Just go to the ‘All Fields’ section and start clicking on the fields you’d like to add to your form. We’ll first add all basic fields and label them before moving on to the others.

Once a field is labelled, scroll down and click on the ‘Add to form’ option to add it to the form.

Added Fields

  1. Email field is a default field in all RegistrationMagic forms. We can’t remove it from any form and is a mandatory field.
  2. The username field is for the registering person to choose a login account username for you.
  3. The password field obviously, is for the individual to set an account password for themselves.
  4. The first and last name fields are two different fields added to the form for the obvious reasons of getting the full name of the participant.
  5. We use the mobile number category to get the contact number of the person. You can customize this according to your reach specifications. This means you can add this field for international or local purposes.
  6. The terms and conditions checkbox is to get a confirmation from the user to agree to the website terms.

With that, we’ve added all necessary fields to our form. You can mark which fields are compulsory and which aren’t from the fields settings themselves.

Additionally, you can also change the visuals and aesthetics of your form as much as you want through RegistrationMagic.

Step4: Publishing the form

Go back to the ‘All forms’ section. Copy the shortcode of the form

Now go to the ‘Pages’ section of the website backend. Click on ‘New page’

Add the actual title of your form in the ‘Title’ section and paste the shortcode in the ‘Main body’ of the page and click on ‘Publish’

With that, the entire form publishing process is complete. Although, if you wish to add this to the main menu of your website, you can go to the ‘Appearance’ option on the website backend options and add this form to the menu and save it.

A. Personal Information

Adding personal details to your job application form.

Here, we will add fields that will ask for the personal information of the candidate such as;

  1. Name
  2. Phone number
  3. Email
  4. Address

 

  1. For Name, we will use the Fname and Lname fields.

To add fields, hover the mouse pointer on the form we just created and click on Fields.

Click on Add Field to add new fields.

Select First Name and label it as First Name (this is how it will show on the front-end).

Similarly, do the same for the Last Name.

Then, for adding the Phone/ Mobile number field, click on Add field and select Mobile Number from the fields menu.

Give it a label and select the appropriate settings as per your needs and click on Save.

Next, as we can see, the Email field is added by default, so we don’t need to add it again.

Perhaps, if needed, you can enable the email verification by going to the Email fields setting and enabling the Display email confirmation field.

For adding an address, add the Address field from the fields dashboard.

In the address field, there are two options, one is the regular address fill-up option and the second one (our favorite) is the Autocomplete that is powered by Google.

Moreover, the address field can be restricted to a particular country too.

Apart from the fields mentioned above, if you intend to add more fields, you can do so by going to the field manager tab.

B. Education Information

While creating any type of job application form, collecting educational details on all the candidates is crucial for the right decision-making.

Let’s add the fields for collecting educational information.

Here, we will use conditional fields.

First, using the radio button, we will ask what is the highest qualification.

Then, we added a couple of text boxes and number fields for college/ university names, Degree names, percentages, and year completion details with conditions.

C. Professional details

Here, we will add fields that will help capture the employment details of the candidates.

For this, we will use the radio button to ask the candidate whether they have any work experience or not.

Using the Number field, we will ask how many years of work experience they have.

We will insert the Textarea field to acquire the roles and responsibilities

A text field to insert the name of the most recent employer, and date fields for start and end dates.

D. Skills

Further, we will collect all the skills of the candidates using the text area field from the field manager.

E. Upload Attachments

Create a job application form and not include a CV and cover letter attaching option. Doesn’t sound right.

In this section, we will use the File Upload field so that the candidates can upload their CVs and Cover letters.

These are the most important documents collected from any candidates applying for a job online.

The field setting allows you to define custom file types that the candidates can upload. If they try to upload anything apart from the defined file type, they will get an error.

For example, we have mentioned PDF in the Allowed file type box.

  10. The E-Signs option helps you collect the signature of the supplier towards the end of the form to finalize and confirm for submission.

With that, we’ve added all important and necessary fields to our form. You can mark which fields are mandatory to fill and which aren’t from the fields settings themselves.
