How to check Submissions for a WordPress Form?

After logging in, navigate to the All Forms section from the plugin menu.

The Submissions column has information about the total number of submissions made to a particular form.

Total Submissions Count for Customizations Form

Click on the submission count and control will be redirected to the Inbox page. Here, you can access all the Submissions.

Inbox page

The Inbox page allows central access to all the submissions. The submissions list will contain the following information:

  • Name and Email: for the user who made the submission
  • Feedback: the extract about the message contents
  • Received On: the date and time on which this submission was made
  • There is also information about any attachments, payment status, etc.

View or Delete buttons allow for corresponding actions for the corresponding selected submission entry.

All Form dashboard allows intuitive and easy access to all the submissions data. Further, submissions are linked to the inbox page, where you can access the detailed view of each entry.

The User Manager section is a cornerstone for administrators seeking seamless control and organization of user information within the RegistrationMagic plugin. In this article, we will look deeper into the user managers section. You can access it from the left menu in the RegistrationMagic plugin.

User Manager Dashboard

Within the User Manager dashboard, administrators find a comprehensive set of tools to facilitate various actions. The dashboard structure encompasses key components:

  1. Adding a New User
  2. Filtering Actions Based on Date and Roles
  3. Comprehensive User Columns: Name, Email, Role, Submissions, Mails, Revenue, Registered On, and Last Login.

This well-organized dashboard equips admins with the necessary features to efficiently manage user-related tasks and access crucial information at a glance.

In the User Manager dashboard, individual users are presented with distinct rows. The initial column displays the user’s registered email. Following that, the subsequent columns showcase the user’s name and assigned role. The succeeding three columns have the counts of submissions, mails, and revenue attributed to that specific user. Concluding the display, the dashboard provides details on the user’s registration date and their most recent login time.

The User Manager dashboard facilitates streamlined user management by offering bulk actions. Admins can conveniently activate, deactivate, or delete a set of users collectively, simplifying overall processes. This feature proves particularly handy for efficiently handling large user datasets and ensures that user management tasks are executed with ease and efficiency. Further, change a user role to any of the following from the list given, options available are – Administrator, Editor, Author, Shop Vendor, etc. Further, more roles can be created in the settings.

The User Manager dashboard provides versatile filtering options based on both dates and roles. Users can conveniently filter data for today, yesterday, the last 7 days, the last 30 days, this month, or last month, or set a custom date range using the date filter. The role filter lists all available roles. Additionally, admins can customize the number of results displayed per page from the top right corner under “Results per page.” The search bar further aids in efficiently locating specific users within the dashboard.

Adding a new User

The admin can add a new user with the help of “Add New.” It opens the page for adding a new user by filling in all the relevant information.

The Add User mandates the inclusion of a username and email while offering additional optional fields such as first name, last name, website, password, profile image, and cover image. The admin has the flexibility to directly assign a role to the new user. Enabling “Send User Notification” triggers an email notification to inform the user about their newly created account.

View

Under every user, there are options like – View, Deactivate, Block Email, Delete, Login Details, and Send Email. This helps to know more details about the user.

This user view encompasses essential user details, including revenue (from WooCommerce sales), profile picture, first name, last name, email ID, role, bio, secondary email, nickname, and website. Admins can perform actions like editing, deleting, or deactivating users, with an additional option to send a new email. Further exploration is facilitated through options revealing custom field values, user form submissions, payment records, and WooCommerce details encompassing orders, addresses, and downloads.

The deactivate option deactivates a user, signaling their inactive status. This efficient feature is complemented by additional options like blocking email and deleting, providing a comprehensive set of tools for user management. This ensures streamlined control and management of user accounts, enhancing the overall administrative experience.

Login Details

The View section not only showcases user information but also offers direct access to login details through the “Login Details” option in the tab. This section meticulously records every login action executed by the user, providing a comprehensive overview of the user’s login history. This feature enhances transparency and accountability in user activity tracking, contributing to effective user management.

In conclusion, the User Manager section within the RegistrationMagic plugin empowers administrators with efficient user curation tools. The new inbox screen introduces enhanced features for managing user registration submissions. To access the inbox, simply click on the “Inbox” option in the left menu. An innovative solution has emerged, offering users an inbox tailored for maximum efficiency. This inbox seamlessly arranges form submissions into neatly organized columns, providing users with a comprehensive toolkit of features and filters. From advanced search options to customizable labels and the ability to block unwanted content, this inbox empowers users to take control of their digital communication.

An Inbox Designed for Enhanced Productivity

Form submissions are neatly organized in columns. “All” displays all form submissions, both Read and Unread, each accompanied by a count. The users can perform bulk actions, including Delete, Mark Read, and Mark Unread, on all form submissions within the inbox.

The date filter allows one to sort form submissions based on date, with options such as Today, This Week, This Month, and This Year. Additionally, the form filter categorizes submissions according to the specific form they were submitted to, listing all forms created by a user. In the premium version of the new inbox, advanced filtering options are available, including property filters such as has note, user block, attachment, no attachment, payment received, payment pending, and offline pending payment. Furthermore, the users can also save a search as a filter for future use, customizing their filtering preferences. Mark All Read option marks all the form submissions as read. It makes the count of Unread submissions 0.

User Registration Menu & Filters

All form submissions appear in columns titled Submission, Form, Received On, Attachments, Notes, Outbox, Status, and Payment. The Submission column displays the email addresses used for the submissions. The Form column indicates the specific form used for each submission. In the Received column, submissions can be sorted by either the earliest or latest date. Attachments, notes, and outbox columns provide counts of the respective items associated with each submission. The Status column employs color-coding to represent custom statuses, which are customizable through the viewing options. Lastly, the Payment column indicates any pending payments, if applicable.

User Registration Controls at your Fingertips

Each form submission in the inbox presents a range of options for users. These options encompass View, Quick View, Block IP, Block Email, PDF, Read/Unread, and Delete.

  • The View option is detailed under Submissions View Manager.
  • Quick View offers a rapid display of the form submission, including essential information such as name, attached screenshots (if any), email, website, and description.
  • Block IP and Block Email functions allow users to block individuals based on their IP or email addresses.
  • The PDF option generates a PDF document of the complete form submission and saves it locally on the user’s PC.
  • The Read/Unread option serves to label form submissions as read or unread.
  • Finally, the Delete option removes the form submission from the inbox.

User Registration Submissions – Detailed View

The Submission View option provides additional functionality beyond the main page menu. The Add Note feature enables users to personalize notes by adding text, choosing note colors, and deciding whether it should be visible to the user. The Send Message feature allows users to compose new messages for recipients. Another useful feature is the ability to add a custom status label from the available options. Introducing WordPress User Registration Statuses, Labels, Tags and Associated Actions

You can manage user registration status in WordPress with RegistrationMagic’s Custom Status Labels & Associated Actions.

In the RegistrationMagic platform, custom registration statuses with predefined labels and associated actions are available. The Custom Status screen exhibits three key menu elements: All Statuses, New Status, and Delete. The comprehensive all-status page functions as the primary interface for managing custom user registration statuses. Within this section, users can review their established predefined and personally created custom statuses, presented in a tabular format. Each row displays the custom status color, corresponding label, and an expandable view button for easy modification access if needed.

Additionally, users can actively remove established statuses using the “Delete” page. Continuing, we move to the new custom status page.

Custom Status Labels

Prebuilt Status Labels

RegistrationMagic provides several prebuilt labels that users can directly apply to the form submissions. These labels include “Approved,” “Pending,” and “Rejected.” The “Approved” status within the plugin can be applied to successful registration and user submission validation. “Pending” status can be used as submission review, awaiting verification or approval by administrators before accessing requested services or content. “Rejected” status can be used for unsuccessful registration due to non-compliance, requiring users to review and resubmit details for reconsideration. These labels can be customized according to the needs.

Custom Status Labels

Users can choose to create a new label, giving it a distinct name to differentiate it from other custom statuses. Enter details for the newly created custom status in the description field. It’s worth emphasizing that the description only appears within the custom status Add/Edit interface and does not appear in submission entries within the inbox.

Furthermore, color can be used as an extra distinguishing feature. We recommend choosing unique and contextually relevant colors for each custom status to ensure clarity.

Associated Actions

Edit Other Statuses

Enabling the “Edit Other Statuses” option empowers users to impact other Custom Statuses instantly upon applying this Custom Status to the form submission. Within this context, three additional options come into play.

  1. Do Nothing: This option leaves other custom statuses unaffected upon application.
  2. Clear all different statuses: It removes all other custom statuses from the form submission when applying this custom status.
  3. Clear Specific statuses: Users can choose from a list to selectively remove only designated custom statuses from the form submission window. Enabling this option provides a list of all available Custom Statuses for selection.

Email to User/Admin

Enabling the “Email to User” or “Email to Admin” option permits sending an email to the relevant individual. Once activated, this option triggers the email dispatch upon applying the specific custom status. The email encompasses both the subject and body of the message or content intended for transmission. 

User Account Options 

The user account options enable interaction with the user account upon applying this custom status. There are four available options:

  1. Create User Account: Generates the user’s account on the site upon application of this Custom Status to the form submission.
  2. Activate User Account: Activates the user’s account on the site when this Custom Status is applied to the form submission.
  3. Deactivate User Account: Disables the user’s account on your site upon application of this Custom Status to the form submission.
  4. Delete User Account: Erases the user’s account from your site as soon as this Custom Status is applied to the form submission.

Attach Note

Enabling this option grants the ability to attach an admin note immediately upon applying this custom status to the form submission. By selecting the “Public Note” checkbox, the note becomes accessible to the user. The note text can be inputted within the “Note Text” text area.

Blacklist

Activating this option restricts the user linked to the form submission from future access to the form. Additionally, if you encounter unwanted form submissions originating from certain email addresses and/or IPs, you can utilize the “Block Email,” “Block IP,” “Unblock Email,” and “Unblock IP” choices. These options are accessible when the respective feature is enabled. “Block Email” prevents users based on their email addresses, while “Block IP” does the same based on their IPs.

 

 

Note that Custom Status Labels are accessible for Free for all users, but Associated Actions are included in the RegistrationMagic Premium package.

Applying custom status to registrations

You can label the form submissions with custom statuses directly from the inbox. Select the form from drop down menu. Next, click the “view” button within the desired form submission to which you wish to assign the custom status. In the form submission, simply click the “+” symbol to incorporate your custom statuses. A comprehensive list of all available custom statuses is provided in list format.

WordPress User Registration Status User Basics

One of the most important customizable extensions in RegistrationMagic is Custom WordPress User Registration Status. Custom Statuses fulfill following requirements:

  1. Tagging or labeling form Submissions
  2. Executing multiple actions on a submission with single click
  3. Additional 4th level filtering option for submissions

Apart from serving as handy labels or tags, each Custom WordPress User Registration Status can also have a set of action associated with it. Following actions are currently possible with every Status:

  1. Remove an existing Status
  2. Remove all existing Statuses
  3. Send an Email to the user
  4. Send an Email to the Admin
  5. Create User Account
  6. Delete User Account
  7. Activate User Account
  8. Deactivate User Account
  9. Attach Private or User Note
  10. Ban Email
  11. Ban IP
  12. Unblock Email
  13. Unblock IP

Not all registration processes are simple accept or reject scenarios. There can be multi admin vetting, conditional approvals, temporary or permanent rejections etc. (Please note, RegistrationMagic already has you covered if you want to have automated vetting of submissions! – check out WordPress forms Automation guide.) To demonstrate power of WordPress Custom User Status, we will create an imaginary scenario. Once again, you may or may not need all the features; it’s totally up to you how and what you want to use. We keep adding features to RegistrationMagic to cover all possible scenarios. So here’s what will happen:

Scenario

  1. User submits form 1
  2. Admin 1 vets the form. Based on the outcome:
    1. Admin 1 Rejects the form.   
    2. OR Admin 1 Approves the form and asks user to fill another form.
  3. User submits form 2
  4. Admin 2 vets the form. Based on the outcome:
    1. Admin 2 rejects the form, deactivates user account and blocks user email.
    2. Approves the forms and activates user account.

Preliminaries:

We will create following properties in RegistrationMagic:

  1. For Step 1: Sample Form 1
  2. Step 2: Custom Status ‘First Rejection’ and ‘First Approval’
  3. Step 3: Sample Form 2
  4. Form Step 4: Custom Status ‘Final Rejection’ and ‘Final Approval’

Although, to keep things simple, we will create basic forms, you can use Custom WordPress User Registration Statuses with any type of forms. We shall also make sure that submission notification form Sample Form 1 goes to Admin 1 and for Sample Form 2 goes to Admin 2. Additionally, success messages and auto-responders for both forms should be set to inform users about the next steps.

To make sure user accounts are not active before Admin 1 vets and approves their submission, we’ll turn off Auto Approval. This is done from Global Settings in RegistrationMagic’s left menu:

Now we select Deactivate User for Manual Approval in Account Activation Method option.

To set up specific email notification for both admins, we go to form Dashboard (by going back to All Forms link clicking Dashboard on form card) and click Global Overrides. Global Overrides allow us to set up form specific email notifications.

To set autoresponders for each form, we click Auto Responder icon in form dashboad.

First Rejection:
  1. Send an Email to the User informing him/ her about the rejection

Now we have to do one more thing – we make sure the Sample Form 2 is only visible to the users who already have filled Sample Form 1 and are approved. Otherwise anyone with a link can fill up the form breaking the workflow. To do this, we go to the Sample Form 2’s Dashboard and click Limits. Turn on Limits and select Limit by Status(es). Select First Approval from the list. That’s it! All we have to do not is publish the forms.

As you can see from this fairly simple demonstration that Custom WordPress User Registration Status provide a pretty solid framework to align form submissions and user registrations with your backoffice workflow. We have not yet touched all the feature available inside WordPress User Registration Status extension, or things that can be done in combination with other 50 odd extensions, including our advance WordPress user login plugin extension. This workflow can be branched and extended into multiple steps. Step3: In the left corner, you will find the New Form link. When you click on it, a pop-up will appear with two form options. One will let you create a WordPress user account on form submission and one that does not create a user account on your site. This means if you want to create a WordPress registration form or a WordPress contact form.

Step4: From here, select your type of form and name it. Next, you will find your registration form appears on the All Forms page. Now, if you hover on the form cover, you will find two links appearing at the bottom – Fields and Dashboard.

Tips: The Fields link lets you add custom user data fields like number, country, profile image, links, timers, etc., on your forms. You can even add a registration feed to WordPress forms to show the number of successful registrations on a form. 

 

Step5: Then, from the Dashboard link, we can take care of the WordPress forms payment, design, analytics, security, etc.

Publish the Form

After adding user data fields to the form, it is now time to publish the form for your users on the front end. RegistrationMagic makes form publishing also a really simple job with its preset shortcodes.

Step1: As you hover your cursor on form covers on the All Forms page, you will also find a unique shortcode there. This shortcode remains unique to every form, and it will help you publish this form on the front end.

Step2: Now, copy the shortcode from the form card. Paste it on a new WordPress page and click on Publish.

Step3: You will then find your form on the front end of your site. This form is now ready to create WordPress user accounts on your site. Now, in order to approve WordPress user accounts without logging into the dashboard, we need to know a little about Global Settings.

Global Settings

The Global Settings menu of this plugin is the most important area that can lessen many jobs of the site admin. From here, you can enable or disable features on all the WordPress Forms on your site. Thus there is no need to work on each form when you enable any settings from this menu.

Step1: As we install the RegistrationMagic plugin on our sites. We find the plugin menu on the site’s menu panel. From there, click on the Global Settings link.

Step2: As you land on the Global Settings page, you will find an array of menus to add up to extend the functionalities of default WordPress forms. From here, we will click on the User Accounts menu to start our job.

Step3: This menu takes care of the actions that an admin needs to do with respect to activating, allowing, approving WordPress user accounts on a site.

Tips: You can enable or disable the features done in Global Settings to make a particular formwork uniquely. The trick is to override Global Settings in WordPress from each Form Dashboard and deactivate the features of Global Settings

Activation Methods of User Accounts

WordPress user accounts activation: RegistrationMagic activation method

Step1: As we land on the Users’ WordPress account page settings, we will find a series of options on account activation, namely:

Activate User Automatically –  Here, there is no scope for the admin to approve WordPress user accounts. Right after a user submits a form, he/she gets an account on your site automatically.

Deactivate User for Manual Approval – Here, the user account stays deactivated after he/she submits a form. The admin has to manually activate the account from the User Manager page of the site dashboard. Till this manual approval from the admin, the user account stays deactivated.

Send Verification Mail – Here, once a user successfully submits a registration form, he/she will receive a WordPress account activation email with an account verification link. Clicking the link on this WordPress account activation email will activate his/her account. The admin can also manually approve unverified accounts.
Note that if you are using paid registrations, the user will be auto-activated upon successful payment.

Approving WordPress Accounts Via Mail

Step2: We selected the Send Verification Mail account approval method because it will allow the admin the approve WordPress user accounts without logging into the dashboard.

Step3: As we select the option, a series of settings open up. The first option being, the expiry time of the Account Activation Link. You can specify hours here. As an example, I have entered 24 to make the link last for a day.

Step4: The next field is the Account Activation Notice. Here you can type the message that you want to send in the verification mail.

Step5: Then comes Invalid Activation Code. This will let you send an error message in case your user finds the activation link broken.

Step6: Next is, Link Expiry Notice. As the name suggests, your users will get this message as the activation link expires from your mentioned time.

Step7: Lastly comes, Login Error Message. If your user faces any issue trying to log in to your site from the activation link, then they will receive this mail. This message will also hold a link that will allow them to request you to send another verification mail.

Step8: The next field, Provisionally Activate Account, will temporarily activate a user account even if they are not verified. They can log in to your site till that time. But if they fail to activate their account from the verification link, their accounts will get deactivated.

The final field ones enabled, lets you send a user’s username and password in the verification mail. In the end, click on the Save button to finish the job.

Approving User Accounts from Dashboard

Now since you have seen the fast and easy process of approving WordPress user accounts via mail, it is time you also see the process of activating user accounts from your site dashboard.

Step1: From the RegistrationMagic menu panel, click on the User Manager link.

Let Your Users Edit WordPress Forms After Submission with RegistrationMagic

Being able to edit WordPress forms data after submission gives the liberty to your users to rectify mistakes. Again, this opens up the scope to update personal data at any point in time.

When you create WordPress forms to take users on your site, you add data fields to it. Different WordPress user registration plugins have different data fields to add to default forms. So first, let us start this article by creating a form and adding custom user fields to it. Then we will create a custom user area from where the users can edit WordPress forms data. And you will see the role of preset shortcodes in the process, that will lessen our job to a lot of extents.

Publish WordPress Forms

RegistrationMagic makes it really simple to create and publish dynamic WordPress forms on your site. There are even options to display WordPress forms using HTML codes as well as its own preset shortcodes.

You will find an All Forms page on your site that stores all the forms that you create with this plugin.

On every form cover in the All forms page, you will find a unique shortcode. This shortcode appears as soon as users create a form. The form cover also shows two links, the Fields and Dashboard link.

The Fields link allows users to add user data fields on the form. While the Dashboard lets the users take care of the WordPress form security, payment, design, analytics etc.

We will first publish this form and then add custom user data fields to it.

Now, copy the shortcode from the form card. Paste it on a new WordPress page and click on Publish.

You will then find your form on the frontend of your site. This form will register users on your site who can later edit the form data from their frontend profiles.

Add User Data Fields To Your Form

Now, since you are done publishing your form, you will add your fields to define it. RegistrationMagic offers a wide array of fields to choose from. There are timers, country, number, price, registration feed, form metadata etc. fields that you can add to your form.

I told you earlier that once you install the RegistrationMagic plugin, you get the All Forms page that stores all your forms. So, from the Fields link on the form cover, you can now start adding custom user data fields to your form.

After clicking on the Fields link you will land on the Field Manager page. Here you will find all the forms that you will add to a certain form. All the fields that you add to each form stay unique to them.

From here, click on the Add Fields link at the top left corner of the page. You will find a pop up opening up with all the preset fields and widgets of this plugin.

Suppose we select the Country field from here under Special Fields. Every field has its own settings page to configure it before placing on the form.
From here you can change the Field Type. Give a Label to the field that will appear on the form and the user account. Add Hover Texts. Then set an Icon for it with proper color, border, and size.
Next, you can make it a Mandatory field so that your users have to enter a value on this field before submitting the form. Then Add this field to User Account will display this field on the User Manager page for the admin to see.
But here our most important setting is: Allow Users to Edit this Field after Submission.

Allow Users to Edit WordPress Forms Data

So, as you select the option, Allow Users to Edit this Field after Submission you now have to give your users a User Area

In the above form, you can see the Country Field with a drop down marked in red.

Your users can edit this field value from their profile pages without having to ask the admin.

Once your users fill this field they will find it on their user area pages with an edit icon beside it. So our next job is to create a custom user area or profile page on the frontend of your site.

Create Custom User Area Page

Again go to the All Forms page from the plugin menu. Then hover on a form cover and click on the Dashboard link.

As you land on the Dashboard page of the form you can see the registration feed and other form statistics. Now scroll down right to the “Publish” section. Then click on the “User Area” icon on the second row. This section will allow you to set up a custom user profile page on your site.

The Publish section of the form has the shortcut to publish various pages on your site. From HTML code to a user directory page or login box you get several options.

Tips: You can publish a WordPress pop up form in every page of your site from here. The pop-up form appears as a small icon at the corner of the page. Thus it does not make your page look clumsy. In just one click this pop up gives your users access to forms and other custom pages or links of your choice.

Clicking on the “User Area” header displays a pop up with a shortcode. This shortcode allots a user specific area on your site. Using this shortcode you can create a custom user profile page in WordPress.

Now click on “Copy” from the link below. To sum up, this only completes a part of this tutorial where you extract the shortcode to publish a user profile on your site. Your users will land here after signing in. Then from their respective user profiles, the users can edit WordPress forms data. Thus making the user area an active section for your users to stay engaged.

Next comes pasting the shortcode to create the custom user area page. Go to the Pages section from your site dashboard. Then click on “Add New” to create a new page where custom user profile page will appear. You are now on the screen with “Add New Page” as the heading. Give a unique title to your new page. In this case, we label the title “Custom User Profile”. So, this title will display on the front end of your WordPress site.

Paste the shortcode copied from the “User Area” section of your form Dashboard on the content section of the page. You can also add media or image files to your page from this space.

Click on “Publish” placed on the right side of the screen. Your page is now published very simply with the help of this plugin’s shortcode. Click on “View Page” to see the front end view of the user profile page on your site. You can also use the link below your site title to see your custom user page.

Custom User Area on Site

Above is an image of the user area that we just published with the preset shortcode of RegistrationMagic. It is complete with a profile image so if you put this field on your form, your users can see their image here. Along with that, there is an Inbox where your users can see all the mails sent from this site.

The welcome screen usually displays the Personal data of the user. If custom fields such as “First Name”, “Email” and “Nick Name” are part of the form then it appears on this page. So, you can see here, that a list of all the field values are here along with a tab below Edit Your Submissions. Your users can thus edit all the fields that are marked with the option Allow Users to Edit this Field after Submission.

We added the country field and that is also here for the users to edit when they feel. Your users will find their user profiles much more interactive when they get to edit their data fields.

The Password field is by default an editable field thus there is a dedicated area to Reset Password.

Editing Submissions from the Dashboard

To edit a form submission from the Dashboard, click on the “Inbox” sub-menu under the “RegistrationMagic” Dashboard menu. This will lead you to a tabular view where you can see all form submissions in one place. You can see submissions for a specific form by using the “Toggle Form” option in the top right of this page.

To edit a form submission, click on the “View” link on the right of the submission’s entry in the table. This takes you to the page where you can see all the details for that particular form submission. At the bottom of this page is the link “Edit This Submission”. Click on this link and you can edit the details for that form submission.

The Benefit of Editing Fields after Form Submission

There are hardly any data in a man’s life that stays constant forever. Apart from the date of birth and name people tend to change their address, designation, place of work with time. People even change their names if they feel like. So, when there are no constant data in a man’s life, it is better to give them the option to edit it as per their choice.

In my form, there are fields such email id, designation, first name, last name etc.  One can use this form to register staff members of an office.
